What information I may collect

Depending on how you interact with me, I may collect and process information including:

  • your name

  • email address

  • telephone number

  • booking and appointment information

  • payment and transaction details

  • consultation and intake information

  • relevant medical and mental-health information

  • information about the issue or goal you would like support with

  • therapy and session notes

  • personalised hypnotherapy recordings

  • correspondence between us

  • feedback, reviews and testimonials

  • photographs, video or other media where you have separately agreed to provide these

  • information contained within enquiries or contact forms

Some of the information you provide may relate to your physical or mental health. This is classed as special category personal data under UK data protection law and will be handled with additional care.

Why I use your information

I may use your information to:

  • respond to enquiries

  • assess suitability for consultations, RTT® sessions or programmes

  • manage bookings, appointments and payments

  • provide the services you have asked me to provide

  • prepare for and deliver consultations and therapy sessions

  • create and provide personalised hypnotherapy recordings

  • maintain appropriate client and session records

  • communicate with you before, during and after our work together

  • manage cancellations, rescheduling and programme administration

  • meet legal, professional and safeguarding responsibilities

  • manage and improve the operation of my practice

  • respond to complaints, concerns or disputes

Lawful basis for using your information

For ordinary client and administrative information, I will generally rely on contract where the information is necessary to provide the service you have booked, and legitimate interestswhere I need to manage and operate my practice appropriately.

Where I process health or mental-health information, I will only do so where there is an appropriate lawful basis and additional condition for processing special category data under UK data protection law.

Where appropriate, I may rely on explicit consent for the processing of special category information.

For identifiable testimonials, photographs, videos or case studies that could reasonably identify you, I will seek your separate explicit consent before using them.

Testimonials and reviews

If you choose to provide a testimonial or review, I may ask whether you are happy for it to be published.

Where a testimonial, photograph, video or other content identifies you, I will only use it for the purposes you have agreed to.

You may withdraw consent for future use of identifiable testimonial or marketing material at any time by contacting me.

Use of anonymised client experiences

I may use anonymised themes, patterns or case examples drawn from my professional work for educational, marketing or creative purposes, including:

  • social media content

  • articles

  • workshops

  • educational materials

  • training materials

  • presentations

  • future publications or books

Any such material will be anonymised so that the individual cannot reasonably be identified.

Names, identifying details and other potentially recognisable information will be removed or changed where necessary.

If I ever wanted to use information that could reasonably identify you, I would seek your separate explicit consent before doing so.

How your information is stored and retained

Client records may initially be kept in paper form and later digitised for secure long-term storage.

Any paper records retained will be kept securely in locked storage.

Once paper records have been digitised and checked for completeness and accuracy, physical copies may be securely shredded.

Electronic records may be stored using secure, password-protected cloud storage, including Google Drive, with appropriate account security measures in place.

I will generally retain client records, including consultation information, intake forms, session notes and related correspondence, for 7 years after our therapeutic work ends, unless there is a lawful, professional or insurance-related reason to keep them for longer.

After the applicable retention period, records will be securely deleted or destroyed.

Testimonials and other published material may be retained for longer where appropriate, unless consent is withdrawn or there is another reason for removal.

Who your information may be shared with

I do not sell your personal information.

Where necessary to provide and manage my services, your information may be processed by trusted third-party service providers, including:

  • Squarespace / Acuity Scheduling for website, booking and appointment management

  • payment providers used to process payments

  • Google services, including Gmail, Google Drive and Google Meet, for communication, secure document storage and online sessions

  • Zoom, where used for online sessions

  • other professional or technical service providers where reasonably necessary to operate the practice

I will only share information where there is a legitimate need to do so and will take reasonable steps to ensure that third-party providers handle personal data securely and appropriately.

I may also disclose information where required by law, where necessary to protect someone from serious harm, or where safeguarding concerns arise.

Confidentiality and professional support

Client information is treated as confidential.

I may discuss aspects of client work confidentially for professional supervision, professional support or consultation.

Where I do so, I will avoid sharing information that identifies you unless this is necessary, appropriate and lawful.

International data transfers

Some of the third-party services I use may store or process personal information outside the UK.

Where personal information is transferred internationally, I will take reasonable steps to ensure that appropriate safeguards are in place and that your information continues to receive an appropriate level of protection in accordance with UK data protection law.

Cookies and website analytics

My website may use cookies that are necessary for the website to function properly.

Squarespace may also use analytics or performance cookies to help understand how visitors use the site.

Where non-essential cookies are used, appropriate consent options will be provided in accordance with applicable law.

I do not currently use third-party advertising or tracking tools such as Google Analytics or Meta Pixel.

If this changes in the future, this Privacy Policy will be updated accordingly.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of the personal information I hold about you

  • ask me to correct information that is inaccurate or incomplete

  • ask me to delete your personal information where there is no lawful reason for me to continue holding it

  • ask me to restrict how I use your information

  • object to certain ways in which your information is being used

  • withdraw consent where I am relying on consent to process your information

  • raise a concern with the Information Commissioner’s Office if you believe your data protection rights have been breached

Some rights are not absolute and may depend on the legal basis for processing and any legal or professional obligations I have to retain information.

I may update this Privacy Policy from time to time to reflect changes in how I operate, the services or systems I use, or applicable legal and regulatory requirements.

The most recent version will always be available on my website, and the last updated date will be shown on the policy.

If a material change affects how I use existing client information, I will take reasonable steps to make affected clients aware where appropriate.
